Send Report Data in the Body of an E-mail Message

When you select "Text File" as the output format for your report, you may also choose to e-mail the resulting report data to another user or group of users in the body of an e-mail message.

Note: In order for the e-mail function to operate correctly, an e-mail server must be specified for your system. Ask your VTS Developer for assistance in the event that an e-mail server has not been configured.

To transmit a copy of report data within the body of an e-mail message, follow the steps below:

1.  Configure the report type, the tags whose data you wish included in the report, and the duration for the report. (If you need assistance in completing these tasks, please refer to Report Time Periods, and Generate a Report.)

2.  Ensure that "Text File" is selected from the "Output Type" drop-down list (other report output types do not allow the transmission of reports in the body of an e-mail).

3.  Select the "E-mail Report" checkbox.

4.  Click the "E-mail Settings" button. The "E-mail Settings" dialog opens.

5.  Enter the e-mail address(es) for the recipient(s) in the "E-mail Recipients" field (e.g. "nshannon@trihedral.com"). If you intend to transmit the report to multiple e-mail recipients, separate each e-mail address with a semi-colon (e.g. "nshannon@trihedral.com; louellet@trihedral.com").

6.  Enter a subject for your e-mail message in the "Subject" field.

7.  Enter any text you wish to include with your e-mail message in the "Message" field.

8.  Click the "OK" button to close the "E-mail Settings" dialog.

9.  Click the "Run Report" button.

Note: If you are accessing the VTS reports page over the world wide web, you will not be able to utilize the e-mail report options, nor will you be able to utilize the ODBC Data Source report output option; however, all other report output options (as defined in Report Output Formats) will be accessible.

You may send reports formatted as text files, comma-separated value (CSV) files, or Microsoft Excel or Access files as attachments to an e-mail. The section that follows provides instructions on doing so.
